Publication note: Some operational thresholds and timeframes in the supplied policy documents are proposals for adoption. They should be approved by Golden Intellexis, with responsible owners and an effective date confirmed, before publication. Mandatory legal requirements and specific activity accreditation conditions take precedence.

POLICY 03 · 9 SECTIONS

Training Policy

This policy sets standards for program design, delivery and assessment, and explains the responsibilities of the company, trainer and participant. It covers in person, online and corporate training according to the service provided.

01Needs and learning outcomes

Programs are designed around the target audience, required skills, prerequisites and assessable learning outcomes. For corporate programs, needs are documented with the client representative, and content is linked to participants’ work without using confidential information unless authorized and appropriately safeguarded.

02Program description and admission

The description states the language, actual learning hours excluding breaks, format, technical requirements, and attendance, assessment and certificate conditions. A course is not marketed as an academic qualification or professional license unless it genuinely is one. Admission requirements are checked before confirmation, and reasonable accommodation requests are considered without changing accreditation requirements.

03Trainer selection and material quality

The company verifies relevant qualifications, experience and delivery capability. Materials undergo subject matter, instructional and language review before use and include verifiable sources and suitable exercises. Applicable rules are distinguished from proposals and opinions, and legal content identifies the jurisdiction and verification date.

04Delivery and professional participation

Trainers follow the plan, learning outcomes and schedule and use exercises, discussion and feedback appropriate to the program. Participants must act respectfully, avoid discrimination and disruption, and not disclose others’ data. Misconduct is addressed through a warning followed by appropriate action; serious misconduct may require immediate intervention, with reasons documented, complaint access preserved and fees settled under applicable law.

05Attendance and identity verification

Attendance, departure and participation are recorded appropriately for the delivery format, with identity verification limited to what is necessary. The proposed internal default for an attendance certificate is attendance at a minimum of 80% of learning hours, unless another condition is disclosed or accreditation requires a stricter threshold. This is an internal threshold, not a general regulator rule. Watching a recording later does not count as attendance at an accredited activity unless the authority permits it.

06Assessment certificates and professional points

Attendance certificates are distinguished from successful completion certificates. The latter require meeting the disclosed assessment criteria, and no universal pass mark is assumed without the program description. Assessment and resit opportunities are disclosed before registration, and participants may request a result review. Certificates are issued after records are verified, with a target of 10 working days after requirements are complete unless an external process is needed and explained. CLPD points are awarded only under the activity’s accreditation and conditions.

07Accreditation and advertising

A company permit or provider accreditation does not automatically accredit every program. Approval scope and validity are checked before describing a program as accredited or using an authority’s logo. For CLPD activities, accreditation is completed before delivery and the attendance register is submitted within 30 days after completion under the authority’s current requirements. Applicable KHDA procedures for the program and certificate are completed according to the approval type.

08Recording privacy and materials

Recording is not automatic. Its purpose, access arrangements and availability period are disclosed beforehand, and necessary consents or another lawful basis are established, with a suitable alternative for those who prefer not to appear or speak where feasible. Materials are provided for personal professional use within the license and must not be resold or published. Teaching examples are not advice on a specific case.

09Quality improvement and contact

Achievement of learning outcomes is assessed in a manner appropriate to the program, and participant feedback is used to address shortcomings. Measuring workplace transfer or organizational impact requires an agreed scope, appropriate data and client cooperation; no specific financial or career improvement is guaranteed. Support and result review requests are sent to info@goldenintellexis.com. This policy is reviewed annually or when requirements change.

POLICY 04 · 9 SECTIONS

Complaints Policy

This policy enables participants, clients and experts to raise complaints and receive a fair, documented review. It covers service quality, registration, fees, certificates, professional conduct and personal data.

01Principles and rights

Complaints are considered objectively and confidentially to the extent compatible with investigation, without retaliation or improper impact on assessment or service. Filing a complaint does not prevent direct recourse to a competent authority or court, and completion of the internal process is not a prerequisite. This policy does not restrict statutory claim deadlines.

02Submission channels

Send complaints to info@goldenintellexis.com with the subject “Complaint”, identifying the program or service, contact details, facts, available evidence and requested outcome. Arabic and English submissions are accepted. Assistance with documentation may be requested; oral complaints are summarized and sent to the complainant for confirmation. Only information necessary to understand the matter is requested.

03Registration and acknowledgement

A reference number and receipt date are recorded, and receipt is acknowledged within two working days. If information is missing, the required information and reason are explained without automatically rejecting the complaint. Review continues for matters that can be assessed, and any effect of missing information on timing is explained.

04Ownership and independence

Management assigns a suitable reviewer who is neither the subject of the complaint nor directly interested in it. If company size or a complaint against management prevents this, an appropriate independent reviewer is engaged subject to confidentiality. The person complained about may respond but must not control the outcome.

05Investigation and urgent measures

Relevant correspondence, contracts, attendance and assessment records are reviewed, and statements are sought as necessary. Safety risks, harassment and data exposure receive priority, with proportionate interim protective measures taken without presuming wrongdoing. Matters are referred to the competent authority where legally required.

06Decision and target timeframe

A reasoned response is targeted within 10 working days of receipt. If more time is required, the complainant is informed before the target expires of the reason and expected response date, with updates every 10 working days until resolution. These are proposed internal service timeframes and do not replace any shorter legal requirement.

07Remedies and corrective action

The response identifies established facts, findings, reasons and remedies. Remedies may include certificate correction, assessment review, replacement training, a refund due, or correction of conduct or a process. An implementation owner and date are identified; a response alone does not close the complaint while agreed action remains outstanding.

08Reconsideration and external escalation

Reconsideration may be requested within 10 working days of the response, stating grounds or new evidence. Receipt is acknowledged within two working days, with a response targeted within 10 working days by another reviewer where feasible. Late requests are considered where reasonably justified. The final response explains possible contact with KHDA, the Legal Affairs Department, or a consumer or data protection authority according to subject matter and jurisdiction, without assuming one authority handles every complaint.

09Records privacy and improvement

Facts, decisions and implementation records are retained with restricted access under the privacy policy and applicable retention requirements. Marketing consent is not required for complaint handling. Patterns are periodically analyzed without identifying individuals to address recurring causes, and this policy is reviewed annually.

POLICY 05 · 9 SECTIONS

Content and Periodic Review Policy

This policy governs the preparation, review and updating of training, legal and marketing content. It seeks to prevent the use of outdated or unsupported information, protect copyright and confidentiality, and control material versions.

01Scope and responsibilities

The scope includes training materials, slides, exercises, assessments, recordings, posts and program descriptions. Each material has a subject matter content owner, and the company approves the release version. A reviewer separate from the author is assigned where feasible; design approval does not replace substantive review.

02Sources and legal verification

Priority is given to official texts, regulatory websites, judgments and original references. Text number, date, jurisdiction, effective status and amendments are documented where relevant, together with the last verification date. Binding rules are distinguished from interpretation, opinion and comparison. Draft legislation or news is not presented as enacted law.

03Review before publication and delivery

Accuracy, objectives, language, exercises, questions and answers, rights, accreditation claims and links are reviewed. The reviewer’s name, review date and required action are recorded before approval. Before each delivery, sources, examples and regulatory requirements are checked for continuing validity, with attention to sections most likely to change.

04Review cycle and triggers

Legal and regulatory materials receive a comprehensive review at least every six months, and other content is reviewed annually. Urgent updating begins when a rule or accreditation requirement changes, a material error is found, or substantiated feedback is received. Changes are targeted for assessment within five working days of discovery, and affected content is withdrawn immediately if continued use would mislead.

05Version control and archiving

Each material carries an identifier, version number, update date and responsible owner. The change log records reasons, affected sections, references and approval. Prior versions are retained for restricted reference, marked as not for delivery, and must not circulate as current versions. Each program record identifies the version actually delivered.

06Intellectual property and confidentiality

Third party content, images and logos are used only with an appropriate legal basis, attribution and within license limits. Rights in expert materials are documented in writing. Identifying details are removed from case exercises or replaced with hypothetical examples; removing a name is insufficient where details still identify a person.

07Use of artificial intelligence

AI tools may assist preparation under human supervision. Rules, references, quotations and examples must be independently verified; generated output is not treated as a source. Client or participant data and confidential materials must not be uploaded to unauthorized tools. The content owner remains responsible for review, and simulated cases or synthetic images are identified where concealing their nature would mislead.

08Error correction and notification

When a material error is found, affected versions, channels and participants are identified, the material is corrected and a clear notice is issued where needed. Effects on assessment, certificates or accreditation are reviewed and remedied. Participants receive a specific correction without being required to purchase the program again to obtain it.

09Marketing content and service limits

Advertising reflects the actual service and does not claim accreditation, points or guaranteed outcomes without support. Dates, prices and links are reviewed before paid promotion, and ads are stopped when the offer expires. General legal information is not tailored advice; this statement does not excuse inaccuracy. Content feedback is sent to info@goldenintellexis.com.

POLICY 06 · 9 SECTIONS

Expert Collaboration Policy

This policy sets a framework for selecting experts, trainers and authors and organizing collaboration. It is an internal and contractual framework and does not by itself create an appointment, partnership or payment entitlement before a specific agreement is signed.

01Selection and verification

The company verifies identity, qualifications, experience, professional record and delivery capability. A work sample or trial session is assessed where needed, and required professional permissions are obtained. Qualifications, memberships and rankings are not published without verification, and the expert reports material changes affecting eligibility.

02Agreement and scope

A written agreement precedes delivery and defines the role, deliverables, audience, language, hours, dates, preparation, delivery, updating and acceptance responsibilities. It identifies independent contracting or another arrangement according to its legal substance; labels alone do not determine status. Experts cannot bind the company or make promises in its name without written authorization.

03Fees and revenue sharing

The agreement specifies a fixed fee, hourly fee or revenue share; no universal percentage is assumed. A share arrangement defines gross revenue or net receipts as its basis, taxes, discounts, refunds, permitted cost deductions, allocation between experts and the right to review statements. Unapproved costs are not deducted and the same amount is not counted twice. Currency, payment dates, invoices, expenses and cancellation settlement are also specified.

04Quality and acceptance

Experts deliver materials on schedule with sources, assessment answers and required update notes. Acceptance criteria are objective and disclosed, and feedback is provided within the agreed period with a reasonable correction opportunity. Review does not expand scope without agreement on fees and timing. Accreditation approvals remain the responsibility of the party named in the agreement.

05Rights in materials and recordings

The agreement distinguishes pre existing expert materials, new materials and joint contributions. Rights remain with their holders unless specifically transferred in writing. Licenses specify purpose, duration, media, modification, translation and delivery by others. Payment does not imply transfer of all rights. Recording an expert’s performance, reselling it or using their image or voice, including synthetic generation, requires express permission specifying scope.

06Confidentiality data and conflicts

Experts protect company, client and participant information, use it only as necessary for the work, and do not transfer it to unauthorized tools. Conflicts are disclosed before work and when they arise, and data incidents are promptly reported. Participant lists obtained through training are not used for marketing without an independent lawful basis. Confidentiality continues after collaboration according to the information and agreement.

07Name branding and marketing

The parties approve the biography, photograph and professional description before publication, and company branding follows its instructions. The relationship is not described as a legal partnership, agency or official accreditation unless accurate. Expert announcements or use of a client’s name require necessary approvals. Advertising stops when permission ends, while lawful historical records may remain if they do not imply an ongoing relationship.

08Cancellation substitution and termination

The agreement specifies cancellation and termination notice, settlement for completed work and approved costs, and deliverable rights. Experts may not substitute another person without company approval and eligibility checks. Remediable breach receives notice and a cure opportunity under the agreement; serious confidentiality, safety or legality risks may justify immediate suspension. Participant cancellation rules do not automatically determine expert fees.

09Disputes and post termination restrictions

Disputes are addressed through documented negotiation, then under the law and forum specified in the agreement; this policy alone does not establish arbitration jurisdiction. Exclusivity or non solicitation requires a specific, proportionate agreement defining duration, scope and protected interest, without a general professional ban. On termination, data and materials are returned or deleted subject to existing rights and duties, and undisputed payments are settled. Contact: info@goldenintellexis.com.

POLICY 07 · 8 SECTIONS

Assessment Completion and Certification Policy

01Program criteria

Before registration, the description states the certificate type, attendance requirements, assessment tools and weights, pass mark, resit opportunities and any fees. Successful completion is not claimed without assessment, and undisclosed pass marks are not applied.

02Attendance evidence

Attendance is based on documented actual learning time excluding breaks. The proposed internal default is 80%, unless another threshold is disclosed or accreditation requires more. Company faults are remedied through replacement hours, not participant absence.

03Assessment and fairness

Questions align with outcomes, and answers and marking criteria are reviewed beforehand. Appropriate accommodations preserve the assessed skill. Assessors disclose conflicts, and scores and deductions are recorded without disclosing individual results to others.

04Integrity and reassessment

Permitted sources, AI and collaboration rules are stated. Automated detection alone does not establish misconduct; participants may respond and receive a reasoned, reviewable decision. Resits follow disclosed conditions without guaranteeing a pass.

05Result review

Participants may request review within 10 working days of notification. Receipt is acknowledged within two working days and a response targeted within 10 working days by another reviewer where feasible. Justified late requests are considered; the complaints route remains available.

06Certificate issuance

Identity, program name, hours, result and accreditation are checked before issue. Each certificate has a unique number and issue date, with delivery targeted within 10 working days after requirements are complete. External processes are explained; points depend on the activity approval.

07Correction verification and revocation

Company errors are corrected without a fee, superseded copies are marked and an audit trail retained. Verification discloses only necessary information on a lawful basis. Revocation requires substantiated grounds, notice, response and review opportunities, and authority notification where needed.

08Responsibility and records

Management assigns assessment and issuance verification owners, separately where feasible. Records follow the approved retention schedule. These proposed internal timeframes align with training and complaints policies. Contact: info@goldenintellexis.com.

POLICY 08 · 8 SECTIONS

Intellectual Property Materials and Recordings Policy

01Ownership and scope

This policy covers materials, slides, exercises, recordings, images and logos. Rights are identified in the asset register or specific agreement. Company ownership of expert or third party materials is not presumed, and payment does not transfer all rights.

02Existing and new materials

Agreements distinguish existing materials, commissioned content and joint contributions. Any written transfer or license specifies rights, purpose, duration, territory, media, modification and translation. Moral rights are respected under applicable law and are not excluded by a general clause.

03Participant and corporate licenses

The default permits registered participants to use materials for their own professional learning, without resale, publication or account sharing. Purchasing seats does not license internal training or organization wide distribution unless an agreement defines that scope.

04Third party content and sources

Permission, license or a lawful exception is checked for quotations and images, with attribution and scope respected. Official texts and facts do not become exclusive company property; original commentary, selection or arrangement may be protected under law.

05Recording and reuse

Recording, purpose, availability period and authorized audience are disclosed beforehand, with expert and participant permissions or an appropriate lawful basis for each use. Attendance alone does not authorize advertising or recording sales; preferences not to appear are accommodated.

06Synthetic images and voices

Cloning an expert’s image or voice or generating a performance in their name requires separate express permission defining use, duration, review and termination. Synthetic characters must not be presented as real experts or assigned false credentials.

07Infringement reports and correction

Rights holders may send the material description, link and evidence of rights to info@goldenintellexis.com. Reports are assessed and use suspended where a clear risk exists, with the supplier or author allowed to respond and remedies documented. Suspension does not automatically admit liability.

08License expiry and review

Use stops on license expiry and public copies are removed under the agreement, while restricted evidence records may be retained. Rights are cleared before release, the license register is updated, and this policy is reviewed annually alongside expert and content policies.

POLICY 09 · 8 SECTIONS

Data Protection and Information Security Policy

01Scope and accountability

This internal policy supplements the privacy notice and covers client, participant, expert and financial records and accounts. Management assigns privacy, security and incident decision owners without claiming that a statutory data protection officer role is required or already established.

02Purpose and minimization

Each processing activity records purpose, basis, necessary fields, recipients and storage location. Enquiry follow up is separated from marketing subscription. Identity documents and sensitive data are not collected merely as a precaution; high risk processing is assessed and documented before starting.

03Accounts and devices

Separate accounts, role based access, multifactor authentication where available, unique passwords and updated devices are required. Password sharing and personal accounts for company data are prohibited without authorized safeguards. Access is revoked when the need or engagement ends.

04Suppliers and transfers

Suppliers are assessed for security, purposes, location, retention and subcontractors before receiving data. Contracts define processing roles, confidentiality, incident support and deletion. International transfers are checked under applicable law; a well known cloud service alone does not establish legality.

05Retention and backups

An approved schedule defines each category’s purpose, retention period, starting event, justification and deletion owner; one period is not applied to all files. Backups are restricted and restoration tested quarterly as a proposed internal target. Deletion is suspended for a documented legal obligation or dispute.

06Rights and access requests

Rights requests are routed to the owner with proportionate identity verification. Requests and responses are logged and completed within the applicable legal timeframe, with a proposed initial response target of two working days. Others’ data are protected; marketing consent is not required.

07Incidents and response

Suspected incidents are reported internally immediately, with a proposed operational target of two hours, without destroying evidence. The fault is contained and affected data, people and harm assessed. Authority and individual notifications follow actual applicable legal triggers and deadlines, not an assumed universal period. Remediation and prevention are documented.

08Awareness and review

Authorized persons receive awareness training on phishing, confidentiality, file sharing and AI. Access is periodically reviewed, and the policy reviewed annually or after a significant incident. Requests go to info@goldenintellexis.com; internal records must identify emergency contacts and alternates before operations.

POLICY 10 · 8 SECTIONS

Artificial Intelligence Use Policy

01Scope and approval

This policy covers preparation, research, translation, design, assessment and marketing. Approved tools, versions, purposes and approving owners are recorded. A paid subscription alone does not authorize confidential inputs.

02Information classification

Public and authorized data may be used after rights checks. Client files, participant data, passwords and confidential contracts must not enter tools not approved for that purpose. Removing names is insufficient if details remain identifiable.

03Human verification

A specialist verifies legislation, judgments, references and quotations against original sources and reviews legal translation and cross jurisdiction comparisons. Generated rules, article numbers or judgments are not published without verification. A human reviewer controls release.

04Decisions and assessment limits

Pass decisions, sanctions or collaboration rejection must not rely solely on AI. Bias is checked and human review available. Each assessment states whether AI use is permitted; permission or prohibition is not assumed without instructions.

05Rights and disclosure

Input and output rights are checked; generated contributions are not attributed to experts without consent and review. Synthetic content is disclosed where concealment affects understanding or the client requires it. AI output is not presented as independent legal advice.

06Images voices and external actions

Impersonating images or voices requires separate permission. Tools must not send messages, publish ads, pay funds or alter records without authorization and suitable review. Instructions embedded in external material are not executed merely because they appear in content.

07Documentation and incidents

Material use is documented in the content record with tool, date, purpose and human reviewer, without unnecessary sensitive logging. Exposure or error triggers suspension of affected use and the incident and content correction procedures.

08Training and review

Tools are reassessed when terms, models or privacy settings change, with policy review every six months as a proposed internal cycle. Users receive practical guidance. Questions go to info@goldenintellexis.com.

POLICY 11 · 8 SECTIONS

Professional Conduct and Conflicts of Interest Policy

01Scope and conduct

The policy applies to management, personnel, experts and participants according to their roles. Respect, accuracy, confidentiality and freedom from discrimination, harassment and intimidation are required, including respect for differing professional views.

02Conflict disclosure

Financial, professional or family interests that may affect selection, assessment or purchasing are disclosed before involvement and when circumstances change. Disclosure does not automatically exclude a person; management assesses and records the response.

03Conflict management

Measures may include recusal, independent review, restricted access or reassignment. Individuals do not review decisions made for their own benefit, and client information is not used to benefit another party. Clients are informed where needed to protect their interests.

04Gifts and benefits

Bribes and personal benefits for enrollment, assessment or contracting are prohibited. Cash gifts and benefits compromising independence are refused; approved professional hospitality is recorded. No financial threshold is assumed without management adoption.

05Accuracy and credentials

Inflated credentials, guaranteed passes, fabricated certificates or testimonials and unsupported accreditation claims are prohibited. Work is attributed correctly, material rights respected and inaccurate statements corrected when discovered.

06Reporting and non retaliation

Reports go to info@goldenintellexis.com, with an independent route where the responsible person is implicated. Confidentiality is protected subject to investigation, and good faith reports are not penalized even if unproven. Unproven allegations are not equated with malicious reports.

07Action and review

Responses are heard and facts documented; proportionate action follows the contract and law, with urgent protective measures for risks. The policy does not create employment sanctions contrary to applicable law. Decisions may be reviewed through the complaints policy.

08Ownership and review

Management assigns register and review ownership. Conflict declarations are made on engagement and on change. The policy is reviewed annually alongside expert, data and intellectual property policies.

POLICY 12 · 8 SECTIONS

Training Continuity and Emergency Plan

01Activation and roles

The plan activates for trainer absence, platform failure, file loss or safety or data risks. Before each program, the response lead, alternate, support, communications and backup owners and secure contact details are recorded.

02Preparation

The platform, materials and links are tested, and an approved recoverable copy retained. A qualified trainer substitute, alternative communication channel and venue or platform option are identified where feasible. New data platforms require privacy checks.

03Response targets

Proposed internal targets are assessment within 15 minutes, an initial update within 30 minutes and a continue or postpone decision within 60 minutes. These are operational targets, not guarantees, and are adjusted to the program and risk.

04Absence and disruption

Substitution follows verification and notice, with material change rights applied where relevant. An approved alternative platform is used or missing delivery completed at an agreed time. Certificates are not issued for hours not actually delivered.

05Safety and data incidents

Safety takes priority; venue procedures are followed and appropriate emergency support sought. Data incidents trigger access containment, evidence preservation and the security policy. Participant lists must not be exposed in group emails.

06Communication and remedies

Notices explain affected delivery, action and the next update without unconfirmed promises. Acceptance of alternatives is documented, and refund and replacement rights for undelivered training follow the booking policy, contract and law.

07Recovery testing and improvement

A recovery test or simulation is targeted twice annually. Incidents record causes, impacts, actions and implementation owners. Activity resumes only after risks are addressed and materials and records verified.

08Readiness record

A program readiness record names lead and alternate, alternative platform, backup location, notification channel, test status and last update. Credentials are stored separately with restricted access.

Document status and precedence

This document supplements the privacy and earlier operational policies. It contains four specialist policies, a conduct policy, a continuity plan, five implementation forms and an expert agreement with its schedule. Program and engagement fields must be completed before use.

Timeframes and operational thresholds are internal proposals aligned with the earlier file. Adoption, responsible owners and an effective date are required. Mandatory rules and activity approval conditions prevail. Provider status does not accredit every program; forms do not make statutory rights conditional on signing.
